Repair or Replace Your HVAC System? How We Decide

There's no age cutoff and no percentage rule. We decide between repairing and replacing a system by weighing repair cost, installation quality, overall condition, warranty status, comfort problems, sizing and how long you plan to stay in the home.

Why don't we use an age cutoff or a percentage rule?

Search "repair or replace HVAC" and you'll find plenty of shortcuts: replace anything past a certain birthday, or replace when the repair costs some share of a new system. We don't use either one, and here's why.

Age tells you when a system was built. It doesn't tell you whether it was sized properly, installed carefully, maintained twice a year or left to run with a clogged filter. We see two systems of the same age in the same neighborhood, and one has years left while the other is on its last summer. A birthday can't sort those two apart.

A percentage rule has the opposite problem. Run the math on a system that needs one part and you might replace equipment that would have run fine for years. Run it on a system that passed the test this time and you can keep patching something with more failures on the way. A formula doesn't know which one is in front of you.

So instead of a rule, we use a written decision framework. The answer flips based on the evidence from your system, not a number on a calendar. Here's what goes into it.

What are the seven things we actually look at?

These are the questions our technicians work through after a diagnostic. None of them decides the answer alone. Together, they usually make it obvious.

1. Does the repair actually fix it? The first question is the immediate repair cost and whether that repair restores reliable operation. Some repairs put a system back to normal. Others get it running today without addressing what's wearing it out. We tell you which one you're looking at.

2. How well was it installed? This is the factor most shortcuts skip. A newer system can be a replacement candidate if it was installed poorly: wrong size, sloppy refrigerant work, ductwork that can't move the air it needs. When the original installation is the problem, a repair can only do so much.

3. What shape is the rest of the system in? We look at overall condition and the likelihood and cost of upcoming failures. If the part that failed today has company, you should know that before you pay to fix just one thing.

4. Is it still under warranty, and are parts available? A covered part changes the repair math. So does a part that's hard to get. Manufacturer parts coverage, registration status and parts availability all matter.

5. How does the house actually feel? Comfort, humidity, airflow, noise and efficiency concerns count. If the system has never kept the upstairs cool or the air always feels sticky, a repair keeps that problem too.

6. Is it the right size, and does it work with your ductwork? A system that's too big or too small for the home, or that doesn't match the ductwork or zoning, will struggle no matter how many parts you replace. This is why we run a Manual J load calculation (the industry method for sizing a system to the home) before any replacement.

7. What are your plans for the home? How long you expect to stay, and whether you'd rather pay cash or finance, both change the right answer. A repair that makes sense for someone selling next year may not make sense for someone staying twenty.

Notice what isn't on the list: a birthday and a percentage. We'll always tell you a system's age, but we won't use it to make the decision for you.

When should you start asking the question?

Most homeowners in Buford, Suwanee or Cumming don't wake up wondering about this. Something prompts it. The usual triggers:

• A major repair quote. A big number on a repair is the moment to ask whether the money is better spent on the same system or a new one.

• Repeated breakdowns. One repair is normal. A second and third in the same stretch says something about the whole system.

• A poor installation you inherited. Buying a home with a system that has never worked right is a common one.

• Ongoing discomfort. Rooms that won't cool, humidity that won't drop, a system that's loud enough to notice.

• An aging system you're planning around. Wanting to replace on your schedule rather than on the hottest day of the year is a perfectly good reason to get an evaluation.

And one that surprises people: a fairly new system that's already giving trouble. Yes, a newer system can still need replacement. If it was installed badly enough, or faces a major enough repair, replacement can be the better long-term option. We inspect the whole situation before we'd ever say that, but we won't rule it out because of the install date.

What goes wrong when the decision is made badly?

We're not going to scare you into anything. A system that's been correctly evaluated as nonurgent can wait. But a bad decision in either direction costs money, so here's what we see.

• Replacing too early. Paying for a new system when one part would have restored years of reliable service.

• Patching too long. Paying for repair after repair on a system whose condition, warranty status or parts availability said "stop" two visits ago.

• Replacing like for like. Swapping the old unit for the same size without checking whether the old size was ever right. That locks in the old comfort problems for another generation of equipment.

• Deciding under pressure. A technician who shows up with a replacement pitch instead of a diagnosis isn't evaluating anything. You should get the cause, the repair price and the reasoning, in that order.

• Ignoring the install. Fixing parts on a system whose real problem is how it was put in.

How does Southeast walk you through it?

The process is the same whether the answer ends up being repair or replace, because we don't know which it is until we've looked.

1. Diagnostic visit. It starts with our $79 diagnostic, which is typically charged. A technician finds the cause of the problem and prices the repair. 2. The framework, out loud. The technician walks through the seven factors above with what they found. If the repair is the right call, that's the recommendation, and it stops there.

3. A free replacement estimate, if replacement is worth considering. This is a separate, no-charge visit. A comfort consultant runs the Manual J, looks at ductwork and electrical, and puts options in writing: single-stage, two-stage and Daikin Fit variable-speed where they fit, with Southeast's labor warranty on each (one year, three years and five years respectively).

4. Your call. You get the numbers for both paths and the reasoning behind them. If you repair, our HVAC repair team does the work. If you replace, our HVAC replacement team pulls the required permits, installs the system and registers the manufacturer warranty for you.
